Main Tasks and Functions (TUPOKSI)

Head of Department
Head of Department is in charge of:
(1) Monitoring the implementation of Strategic Plan and Work Program of the Department
(2) Functioning vision, mission, and the grand strategy of the faculty according to their function and position in the academic field
(3) Monitoring and evaluating cooperation with national and international institutions in the field of education, research, and community service
(4) Increasing lecturer’s productivity in research and community service
(5) Evaluating lecturer’s workload
(6) Giving feedback on the evaluation of lecturers and supporting staff
(7) Increasing staff capacity building based on monitoring and evaluation for the improvement of academic management
(8) Monitoring standard of competence improvement for lecturers and supporting staff
(9) Establishing performance indicators for lecturers and supporting staff
(10) Defining an early warning mechanism for problematic students
(11) Coordinating efforts to improve students’ soft skills
(12) Coordinating learning implementation and evaluation of learning outcome for Department of Nutrition

Secretary of the Department
Secretary of the Department is in charge of:
(1) Assisting the Head of the Department in his duties
(2) Coordinating operational activities of:
a. Secretariat
b. Academic Administration
c. Profession Administration
d. Facilities and Education Infrastructure
e. Personnel
f. Finance
g. Student Affairs
h. Venture
(3) Giving input to the Head of the Department, whether requested or not
(4) Coordinating with coordinators at the Department of Nutrition
(5) Being responsible and reporting his/her work result to the Head of the Department of Nutrition.

Academic Administration
Academic and Education Administration is  in charge of:
(1) Coordinating with the Head and the Secretary of the Department to plan and implement department socialization
(2) Coordinating with the Head and the Secretary of the Department to perform new student admissions
(3) Coordinating with the Faculty/Head/Secretary of the Department to open new student registration
(4) Coordinating with Academic Affairs to plan and arrange a schedule of lectures
(5) Coordinating with General Affairs and Supplies to prepare the facilities for teaching and learning process
(6) Preparing  student examination schedule (Mid Test, Final Test, Remedial Test, Special Exam)
(7) Preparing and conducting pre-judicium and judicium (with the Academic Affairs and Finance and Personnel Division of the Faculty)
(8) Preparing student transcripts and diploma (with University BAAK)
(9) Updating EPSBED data of the department each semester
(10) Preparing SK/Letter of Assignment related to official duty
(11) Coordinating with PJMK to prepare and follow up permits of  practice  classes (Intermonev Community and Pre Dietetic Internship)
(12) Coordinating with PJMK to prepare paperwork related to non permanent lecturers and guest lecturers
(13) Coordinating with the Unit of Teaching and Learning Process to distribute evaluation questionnaires of teaching and learning and curriculum
(14) Coordinating with PJMK to compile scores and conduct test score socialization to students
(15) Coordinating with the Matriculation Coordinator appointed by the Head of the Study Program for preparing and conducting matriculation
(16) Making Manual Procedures and Work Instructions related to academic administration and education.

Financial Administration
Financial Administration is in charge of:
(1) Coordinating with the Head/Secretary of the Department for each month budget submission
(2) Coordinating with Field Coordinator for the submission of  annual budget
(3) Reporting each month budget expenditure (UYHD)
(4) Making honorarium payment for lecturers, PJMK, and team
(5) Preparing budgets and reports for official duty
(6) Together with PJMK submitting and reporting practice budget
(7) Reporting the results of its work to the Head of Department
Public administration
Public administration is in charge of:
(1) Collaborating with NEU and  Faculty apparatus to provide facilities and infrastructure to support the learning process
(2) Coordinating proposed facilities and infrastructure required by the department to the faculty
(3) Conducting a follow-up regarding the proposed facilities and infrastructure
(4) Reporting the results of its work to the Head of Department.

Nutrition Education Unit (NEU)
(1) In carrying out its functions, NEU is supported by academic administration
(2) NEU is in charge of:
a. Formulating and developing a competency-based curriculum for S1 Nutrition
b. Evaluating curriculum and teaching and learning process continuously
c. Establishing learning objectives, either general objectives or special objectives that must be achieved for each subject with reference to competency achievement
d. Coordinating with the Coordinator of Specialization Lecturer Group to ensure the competency achievement of each subject is in accordance with defined level of competency achievement.
e. Coordinating with the Coordinator of Specialization Lecturer Group to set the load of each subject.
f. Coordinating with the Coordinator of Specialization Lecturer Group and the person in charge of the courses regarding the implementation of curriculum in each semester.
g. Planning, monitoring and evaluating the implementation of teaching and learning process.
h. Coordinating with Academic Administration and Supporting Unit to prepare for the needs of administration and facilities/infrastructure related to the implementation of academic education
i. Coordinating with Academic Administration in score verification as a requirement of judicium for Nutrition graduates.
j. Monitoring and evaluating the success of study.
k. Giving input to the Head of the Department to provide early warning to problematic students.
l. Giving input to the Head of the Department or Secretary of the Department about alternative plan of study for problematic students.
m. Giving input to the Head of the Department related to academic policy.
n. Coordinating with Final Project Team of the Faculty with regard to monitoring and evaluating final project implementation.
o. Being responsible and reporting the results of its work to the Head of Department.

The Coordinator of Specialization Lecturer Group
The Coordinator of Specialization Lecturer Group is in charge of:
(1) Evaluating lecture topics in relation to competency achievement
(2) Presenting the results of lecture topic evaluation to NEU
(3) Evaluating the quality and methods of test at each stage of teaching and learning process
(4) Coordinating with NEU to prepare, implement, and evaluate PBL process
a. Preparation of PBL implementation:
1. Developing scenarios
2. Composing a written test and a practice exam/OSCE and determining the examiners and standard patients
3. Planning expert lectures and the speakers in the teaching and learning process using PBL method
b. Implementation of PBL:
1. Attending student presentations on DK4
2. Evaluating and assessing student worksheet (student worksheet and log book lab skills)
3. Evaluating and assessing group’s report
4. Evaluating and assessing written test and practice exam/OSCE
5. Creating exam questions for remedial test
6. Evaluating and assessing remedial test
c. PBL Evaluation
1. Evaluating scenarios based on input from the facilitator and discussion with students
2. Conducting a follow-up on scenario revision based on evaluation

(5) Preparing activities for specialization field development with the team of Specialization Lecturer Group through research, training, and continuous education
(6) Assisting the Head of Department in monitoring research productivity by lecturers of Department of Nutrition related to specialization field
(7) Developing and evaluating research tree in the Department of Nutrition.
(8) Coordinating with Development Unit and Research and Community Service Unit in Education, Research and Community Service.
(9) Documenting all Research activities, Community Service, and Cooperation undertaken by lecturers of Department of Nutrition

Professional Education Team
Professional Education Team is in charge of:
1) Coordinating with BAAK UB to get a permit from Directorate General of Higher Education in the implementation of Nutrition Profession Education
2) Coordinating with the Head/Secretary of department and cooperating with Academic Administration in new intern acceptance up to judicium stage
3) Coordinating with the Head/Secretary of department and working closely with the Financial Administration related to profession education finance
4) Coordinating, monitoring, and maintaining the smoothness of profession education activity in collaboration with the group coordinator of Specialization Lecturer Group
5) Preparing Profession Education (including instructor, location, modules, and evaluation)
6) Coordinating with MTKI / MTKP to prepare profession competency test
7) Being responsible and reporting the results of its work to the Head of Department.

Quality Assurance Unit Team
(1) Quality Assurance Unit (UJM) Department is a Supporting Unit under the faculty and is responsible to the Dean in terms of standard control and quality assurance of the department.
(2) Quality Assurance Unit (UJM) is in charge of:
a. Ensuring that processes needed for the quality management system are established, implemented, and maintained.
b. Reporting to the Head of Department about the performance of quality management system and any need for correction.
c. Ensuring awareness promotion of customer necessity throughout the organization.

Development Unit
Development and cooperation Unit is in charge of:
1. Assisting the Head/Secretary of the Department in development of the Department in the fields of education, research and community service in collaboration with relevant units
2. Assisting the Head/ Secretary of the Department in establishing cooperation with institutions at home and abroad in the field of Education, Research and community service
3. Assisting the Head/Secretary of the Department in monitoring the evaluation of cooperation  implementation with institutions at home and abroad in the field of Education, Research and Community Service
4. Coordinating the optimization of the use of facilities and infrastructure for the purpose of income generating activities for the department in cooperation with the relevant units
5. Working with the Coordinator of Specialization Lecturer Group and Technical Implementation Unit (UPT) of Central Library in the provision of books and other literature facilities
6. Reporting the results of its work to the Head of the Department

Laboratory Unit
Laboratory Unit is in charge of:
(1) Coordinating and facilitating the use of laboratory facilities and infrastructure to support education, research, and community service necessity for lecturers, students and community
(2) Planning the development of laboratory
(3) Planning the optimization of the use of laboratory
(4) Planning maintenance of laboratory infrastructure
(5) Managing income generating activities for the department through the use of laboratory
(6) Reporting the results of its work to the Head of Department.

Student Affairs Unit
Student Affairs Unit is in charge of:
(1) Managing proposal and report of student activities by coordinating with nutrition student organization (ORMAGIKA)
(2) Developing and analyzing outstanding student evaluation forms
(3) Coordinating with the faculty in carrying out a tracer study
(4) Establishing a network with alumni association for the development of the department
(5) Report the results of its work to the Head of Department.

Research and Community Service Unit
This unit is in charge of:
1. Being responsible as the unit in charge of Research Methodology 2 Subject
2. Conducting a review of research title proposed by the students in Research Methodology 2 subject
3. Determining first supervisor and second supervisor of student’s final project according to their chosen field of specialization
4. Facilitating the replacement of student’s final project supervisor
5. Reviewing the requirements of student proposal examination and signing proposal examination form
6. Determining the examiners for students’ final project
7. Reviewing the requirements of student’s final project examination and signing final project examination form
8. Monitoring the completion of student’s final project, among others identifying the length of final project completion time and the number of final project supervision
9. Monitoring students who are late in taking proposal examination
10. Evaluating final project implementation of the students. The evaluation includes the performance of final project supervisor, final project managers of the faculty, and research ethics team
11. Managing final project manuscript and final project submission form
12. Making a report about the implementation of student’s final project

Website Team (Web Team):
(1) Website Team is in charge of:
a. Coordinating with all units in the Department of Nutrition (Nutrition Education Unit (NEU), Quality Assurance Unit Team, Student Affairs Unit,  Research and Community Service Unit) to organize the information content on each mandatory menu in the Department’s website.
b. Monitoring and evaluating all the information being uploaded, and ensuring all information on the mandatory menu is filled according to the standard, both in Bahasa and in English
c. Updating information regularly (per quarterly).
d. Planning, monitoring, and evaluating the development of the website, including the addition of new menus based on existing needs.
e. Being responsible and reporting the results of its work to the Head of Department.

In carrying out its functions website team is supported by the general administration, academic administration, and ICT division of the Faculty.
