Head of School of Nutrition Science
The Duties of the Head of the School of Nutrition Science include:
- organizing and/or coordinating education, research and community service activities at the academic and professional or specialist and subspecialist stages in the fields of Medicine and Health;
- responsible for the education process at all stages, research and community service to achieve the national education standard, research and community service;
- responsible for the availability of governance, human resources, financing and good infrastructure for the implementation of academic activities in the study programs within their respective environments, and
- monitoring and evaluating the quality and quantity of the study programs within their respective environments.
In carrying out their duties, the Head of School of Nutrition Science functions to:
- organize all study programs under the School of Nutrition Science and related laboratories/departments to ensure standards of education quality;
- prepare and implement the academic policies and department’s quality documents;
- preparation of strategic plans and work programs and annual Schoolof Nutrition Science budgets based on input from study programs;
- implement the development of departments for education, research and community service, as well as human resources and infrastructure;
- coordinate the education, research and community service activities in all study programs in their scope;
- coordinate activities of departments in the School of Nutrition Science;
- initiate and implement the collaboration with stakeholders at the national / international levels relevant to the development of Study Programs / School of Nutrition Science;
- monitor and evaluate the implementation of program activities in the School of Nutrition Science and teaching and learning process at the level of the Study Program assisted by UJM;
- conduct an enforcement toward the discipline of lecturers and administrative personnel according to the authority of the School of Nutrition Science; and
- prepare and report activities regularly to the Dean.
Secretary of School of Nutrition Science
The Duties of the Secretary of School of Nutrition Science include:
- assisting the head of School of Nutrition Science in improving the quality of education, research, and community service (Tri Dharma Perguruan Tinggi) at the level of the study program within its scope; and
- coordinating the administrative and secretarial activities of the School of Nutrition Science.
Secretary functions to:
- Coordinate administrations and collecting documents related to the School of Nutrition Science / study programs
- manage the data bases of education, research and community service activities in the School of Nutrition Science;
- facilitate in data retrieval in the accreditation process
Quality Assurance Unit (UJM)
The Quality Assurance Unit is assigned to:
- implement an Internal Quality Assurance System that is integrated with the Quality Management System and management of the School’s data base;
- coordinate, plan, monitor and evaluate the implementation of agendas in accordance with the work programs of the School of Nutrition Science and Faculty;
- coordinate the implementation, monitoring and reporting of mentoring systems for the preparation of documents and preparation of visitation for national and international accreditation / certification of study programs;
- Describe the education quality standards into the academic quality documents of the Faculty;
- conduct administrative activities, correspondence and archiving as well as UJM’s public services; and
- submit periodic reports on the implementation of academic quality assurance to the Head of the School of Nutrition Science.
Collaboration Unit
The Collaboration Unit bears responsibilities to:
- Assist the Head / Secretary of the School of Nutrition Science in developing the School of Nutrition Science specifically in the fields of Education, Research and Community Service in collaboration with related units;
- Assist the Head / Secretary of the School of Nutrition Science in collaborating with national and international institutions in the fields of Education, Research and Community Service;
- Assist the Head / Secretary of the School of Nutrition Science in monitoring the evaluation of the implementation of collaborations with national and international institutions in the fields of Education, Research and Community Service;
- Coordinate the optimization of the use of facilities and infrastructure for the purposes of income generating activities for the School of Nutrition Science in collaboration with related units;
- Coordinate and document lecturer development activities in the participation of seminars and training;
- Create, implement, evaluate, document and report the suitability of the implementation of the Standard Operating Procedure related to the units; and
- report the results of its work to the Head of the School of Nutrition Science regularly in every three-month period.
Student and Alumni Unit
The Student and Alumni Unit is tasked to:
- Manage student activity proposals and reports through coordination with nutrition science student organizations (ORMAGIKA);
- Compile and analyze student achievement evaluation forms;
- Coordinate with the faculty office in carrying out tracer studies;
- Conduct networking with alumni associations for the School of Nutrition Science development;
- Manage student academic coaching;
- Prepare, implement, evaluate, document and report the suitability of its Standard Operating Procedure implementation; and
- Report the results of its work to the Head of the School of Nutrition Science in every three-month period.
Research and Community Service Unit
Research and Community Service Unit is tasked to:
- Develop research and community service for the School of Nutrition Science;
- Disseminate information on research and community service grants to lecturers;
- Manage to update the data on acquisitions of research grants and community service by lecturers;
- Manage the documentation of publications and reports on research and community service activities by carried out by lecturers;
- Assist the Head of the School of Nutrition Science in monitoring the productivity of Research and Community Service in the School of Nutrition Science;
- Create, implement, evaluate, document and report the suitability of the implementation of the its Standard Operating Procedure, and
- Report the results of his work to the Head of the School of Nutrition Science in every-3 (three)-month period.
Publication Unit
Publication Unit is tasked to:
- Assist the Head / Secretary of the School of Nutrition Science in the management of IJHN (Indonesian Journal of Human Nutrition);
- Assist the Head / Secretary of the School of Nutrition Science in monitoring the evaluation of journals and websites;
- Prepare, implement, evaluate, document and report the suitability of the implementation of its Standard Operating Procedure, and
- Report the results of collaboration with the School of Nutrition Science in every three-month period.
The Chair of Study Program
The Chair of the Study Program has the tasks to:
- compile a workplan as a working guide under the principles of efficiency, accountability and transparency;
- lead and carry out managerial functions of the study programs to control the implementation of academic activities and administration of supporting activities;
- coordinate with the Head of the School of Nutrition Science to prepare policies and objectives of qualities; and
- manage the education implementation to achieve students’ competencies as stipulated in the curriculum set by the faculty executives by collaborating with related parties (Collegium / Associations).
The Chair of the Study Program has the tasks to:
- coordinate all stakeholders in implementing and participating in the development of curricula constructed by Collegium / Associations;
- coordinate with the head and secretary of the School of Nutrition Science and the head of the Department/Laboratory in conducting academic quality analysis;
- coordinate with the head and Secretary of the School of Nutrition Science as well as the Head of the Department/Laboratory in formulating plans and accountability reports for student admission;
- prepare accountability report and cooperate with the Head of and Secretary of the School of Nutrition Science in preparing for Study Program Accreditation;
- Create workplan for developing education qualities;
- Create programs of excellence that strengthen the existence of study programs based on faculty development plans;
- prepare plans and coordinate the implementation of curriculum implementation / student internship;
- coordinate the concepts of the semester’s teaching-learning plan based on the applicable regulations;
- Prepare the plots of lecturing jobs and the teaching loads of lecturers;
- prepare the monitoring instruments for the implementation of lectures and their implementations based on applicable regulations to improve the quality of the Study Program;
- monitor the competency achievements and determine the criteria of students’ success, as well as evaluate the length of study of students;
- Implement the tracer study for students, alumni and graduate users;
- Provide feedbacks to the head of the School of Nutrition Science on the performance of the lecturers and administrative staffs;
- Apply and/or propose sanctions for students to the head of the School of Nutrition Science based on the applicable rules;
- Prepare the study program’s performance reports both/either through the database, and/or accreditation forms;
- proposing planning and development of Human Resources;
- manage administrative documents/letters related to students (leave permit, permission, study extension and student activities).
Curriculum Unit
- In carrying out its functions the curriculum unit is supported by academic administration and student affairs;
- he curriculum unit membership consists of a coordinator of the group lecturers in the fields of clinical nutrition concentration, community nutrition and institutional nutrition, with the tasks which include to:
- Evaluate the topics of lecture in relation to competency achievements;
- Ensure the achievement of competency in courses in line with the specified levels of achievement;
- Coordinate with the course coordinators regarding the course load
- Coordinate with the course coordinators on the implementation of the curriculum for each semester
- Evaluate quality and examination methods at each stage of the teaching and learning process;
- in collaboration with Team of Study Concentration prepare, implement and evaluate PBL (Problem Based Learning) processes:
3. Preparation of PBL implementation:
- Develop a scenario
- construct written and practicum/ OSCE exam questions and determine the standardized examiners and patients
- Plan expert lecturers and the speakers in the PBL teaching and learning process
4. PBL implementation:
- Attend students’ presentations on the fourth discussion
- Evaluate and assess student worksheet and skill lab’s log book)
- Evaluate and assess group reports
- Evaluate and assess written examinations and practicum/ OSCE examinations
- Prepare the questions for remedial examinations
- Evaluate and assess remedial examinations
5. PBL evaluation:
- Evaluate scenarios based on feedback from facilitators and results from student discussions
- Conduct follow-up on scenario improvement based on evaluation results
6. In collaboration with the team of study concentration, develop specialization/ study concentration through research, training, and continuous education;
7. Assist the head of the School of Nutrition Science in monitoring Research Productivity carried out by teaching staffs of the School of Nutrition Science in relation to the concentration;
8. The Curriculum Unit of Nutrition Science Study Program also serves to:
- Construct and develop competency based the curriculum of nutrition science program;
- Evaluate the curriculum and teaching-learning continuously;
- Set the learning both general and specific objectives for each subjects that must be achieved based on the competency attainments
- Plan, monitor learning and evaluate the implementation of the teaching process;
- Coordinate with Academic Administration and General Affairs and State Property to prepare administrative needs and facilities / infrastructure related to the implementation of academic education;
- Coordinate with the Academic Administration and Student Affairs in verifying the students’ scores/marks as a requirement of the ;
- Monitor and evaluate the students’ success in their study;
- Provide the Head of the School of Nutrition Science with input about giving early warning to problematic students;
- Provide input to the Head or Secretary of the School of Nutrition Science regarding alternative study plans for problematic students;
- Provide input to the Head of the School of Nutrition Science regarding academic policy;
- Coordinate with the course coordinator of Final Assignment regarding monitoring and evaluation of the implementation of Final Assignment;
- Coordinate with the student and academic administrations regarding the request of a decree / Togas Letter of Assignments in the field of teaching;
- Create, implement, evaluate, document and report the suitability of the implementation of its Standard Operating Procedure; and
- Report the results of its work to the Chair of the Study Program in every three-month period.
Personnel Affairs Administration
Personnel Affairs Administration is to:
- Coordinate with the Head and Secretary of School of Nutrition Science to plan and implement School activities;
- Coordinate with the Head and Secretary of School of Nutrition Science in correspondence concerning personnel at School level;
- Prepare decrees and letters of assignment concerning research, community service, and other required documents;
- Coordinate with the Head and Secretary of School of Nutrition Science to document performance achievement and School reports;
- Document all incoming and outgoing mails at School level; and
- Submit a work report to the Head of School of Nutrition Science in every three-month period.
Academic and Student Affairs Administration
Academic and Student Affairs Administration is to;
- Coordinate with the Curriculum Unit to plan and arrange course schedule;
- Coordinate with the Division of General Affairs and State-owned Assets of the Faculty to prepare facilities needed for teaching and learning process;
- Arrange examination schedule (Mid-term, Final Examination, Remedial, Special Examination)
- Prepare and implement pre-judicium and judicium in coordination with the Division of Academic and Student Affairs and the Division of Financial and Personnel Affairs of the Faculty;
- Coordinate with the Curriculum Unit concerning requests for decrees and letters of assignment in education;
- Prepare student transcripts and diplomas in coordination with the Academic and Student Administration Bureau (BAAK) of Universitas Brawijaya;
- Update Higher Education Database of the Study Program every semester;
- Coordinate with course coordinators to prepare and conduct a follow up for practicum permit (Intermonev Community and Pre Dietetic Internship);
- Coordinate with course coordinator in preparing letters and documentations concerning non-permanent lecturers and guest lecturers;
- Coordinate with the Teaching-Learning Process Unit in distributing questionnaires on teaching learning process and curriculum evaluation;
- Coordinate with course coordinator in compiling and socializing examination results to the students;
- Coordinate with the Publication Unit concerning the management of the School website;
- Coordinate with final assignment coordinator in socializing final assignment advisors to the students;
- Coordinate with final assignment coordinator in determining final assignment examiners;
- Conduct a review on final assignment requirements and prepare administrative documents regarding the implementation of final assignment proposal examination and final asignment examination;
- Coordinate with the final assignment coordinator in monitoring the completion of final assignment report i.e., identifying the length of time of final assignment completion and the number of final assignment advisees;
- Coordinate with final assignment coordinator and the Curriculum Team of School of Nutrition Science in monitoring students who are behind in their final assignment proposal and report examination;
- Coordinate with the Curriculum Team of School of Nutrition Science in evaluating the implementation of final assignment with regard to the performance of lecturers and final assignment advisors;
- Check the executive summary of students’ final assignment for plagiarism;
- Manage final assignment manuscripts and final assignment submission form; and
- Develop, implement, evaluate, document, and report the suitability of Standard Operating Procedure implementation concerning academic and student affairs administration.
Financial Affairs Administration
Financial Affairs Administration is to;
- Conduct monthly coordination with the Head and Secretary of School of Nutrition Science for budget submission
- Coordinate with division coordinators for budget submission annually;
- Report budget expenditure (UYHD)monthly;
- Make honorarium payment to lecturers, course coordinators, and team;
- Prepare School-related budget and report;
- Together with course coordinator submit and report practicum budget; and
- Submit a work report to the Head of School of Nutrition Science in every three-month period.
General Affairs and State-owned Assets Administration
General Affairs and State-owned Assets Administration is to:
- Work with the Curriculum Unit of School of Nutrition Science and the Division of General Affairs and State-owned Assets of the Faculty in providing facilities to support learning process;
- Coordinate proposals for facilities needed by the School to be submitted to the Faculty;
- Conduct a follow up for the proposals;
- Manage the reading room of the School of Nutrition Science, from loaning procedures to collection inventory; and
- Submit work report to the Head of School of Nutrition Science in every three-month period.
